Applications are being invited to fulfill the following posts/ support staff under the 'Livestock and Dairy Development Project LDDP' under the Ministry of Fisheries and Livestock implemented by the Department of Livestock with funding from the Government of Bangladesh and the World Bank.
Position, No. of Vacancies & Details:
S/he will be responsible and report to the Project Director. Provide overall secretarial and communication support to the project staff members; the incumbent responds to the head, administration and finance and is expected to perform the following:
• Using the standard format prepare letters, memos and other project related papers/documents for submission to WB, Molt and other agencies;
• Receive, review, code all incoming mail and arrange for distribution to respective personnel when copies marked;
• Responsible for daily faxes, incoming and outgoing and ensure proper log-in and their distribution;
• Assist in report preparation and editing;
• Maintain project files and related reference materials including personnel files;
• Coordinate with the administrative unit in dispatching mail.
S/he will be responsible and report to the designated officer. More specifically his/her tasks include:
• Possesses general knowledge about normal vehicle maintenance like, regular tune-ups, oil changes, fluid levels, breaks, tire treads and pressure, lights, signals and wipers etc.
• Always keep with updated driving licenses, vehicle fitness issue documents like insurance, road permit, registration etc.
• Wearing professional uniform (if any) and be careful about reckless/destructive/aggressive/influence by others driving specially be extra care at night
• Properly maintain the log book of the vehicle and be care about the fuel consumption and maintenance cost etc.
• Keep the vehicle in designated place and clean at the end of the daily duty
S/he will be responsible and report to the Project Director. Ensure and keep the office premises neat and clean, the incumbent responds to the higher authorities. More specifically his/her tasks include:
• Clean the office premises, desks, chairs, shelves of the staff members including office equipment;
• Carry and distribute mail and messages to the project personnel;
• Provide assistance in refreshments and other services during meeting, conference, workshops;
• Assist in the room arrangement for in-house seminar and meeting;
• Perform other tasks as assigned by the higher authorities.
Computer and English is a must S/he will be responsible and report to the designated officer.
S/he often act as the designated officer first point of contact with people from both inside and outside the organization. Tasks are likely to include:
• Devising and maintaining office systems, including data management and filing;
• To take notes or dictation at meetings or to provide general assistance during presentations;
• Screening phone calls, enquiries and requests, and handling them when appropriate;
• Meeting and greeting visitors at all levels of seniority;
• Organizing and maintaining diaries and making appointments;
• Dealing with incoming email, faxes and post, often corresponding on behalf of the designated officer;
• Producing documents, briefing papers, reports and presentations (when required)
• Organizing and attending meetings and ensuring the manager is well prepared for meetings;
• Liaising with clients, suppliers and other staff In addition to supporting designated officer, their team and departments, many PA' also have their own personal workload and responsibilities.
• The scope of the PA' role can be extensive and additional duties may include:
• Ability to work under pressure and willing to work on holidays if necessary.
• Perform other tasks as assigned by the higher authorities.
S/he will be responsible and report to the Project Director. Provide overall assistance in organizing, preparing and maintaining accounting records and reports and in particular is expected to perform the following task upon specific designation:
• Review and check time sheets, recommend leave requests for approval;
• Prepare the payroll including tax and other withholdings and arrange for payment of taxes;
• Review invoices submitted by the subcontractors and vendors and process their payments;
• Review travel expenses, maintain records of advances and reconcile with bills;
• Assist in the preparation of budgets and monitoring expenses;
• Dealing with bank and tax department on matters related to project and the personnel;
• Review and check drivers time sheet, monitor and prepare drivers OT statements.
S/he will be responsible and report to the Project Director. Primarily responsible for data entry generated during the project period and is expected to perform the following:
• Using the standard format for data entry and to prepare reports;
• Assist in report preparation and editing;
• Perform other tasks as assigned by the higher authorities.

Educational Qualification- Second class graduate from any recognized university
